Meeting held at Taffys Restaurant  1130am  Monday May 1st, 2000

Present:
Glenn Wells, Damon Oran, Jessica ...(from Valor), Woody Adams, Keith
Larson, Andy Kowalewski

Technical stuff:

Woody and Glenn have completed the workbook in Word format and ready for
printing.

We will get 75 books printed in black and white.

Andy will chase up a printer and pricing.

We won't make any mention of sponsors in the workbook, and there will be
notes of other presentations that won't be here in time to get into the
workbook. These will need to be printed seperately.

Glenn will call the guy in California to get a copy of his presentation so
that we can have copies ready for the conference.

Marketing stuff:

Sponsorships are getting there, but there are still some holes that Damon
is confidant of filling.

Keith is going to chase our confirmed sponsors for their contribution,
working with Damon to do so.

Keith will also talk to them about getting their signs and logos taped up
on the wall, inside and outside the conference room.

Damon is going to fill the gaps in our sponsorship table, and try to
offload the Friday lunch if he can.

Andy will approach John ...  at Collin County Community College and offer
five scholarships to College students on behalf of the Chapter. We will
offer to pay their conference attendance fee, and make a contribution of
$25 towards their IPC Designers Council membership. They will need to
personally pay the other $25 to take up this opportunity.

Venue stuff:

Registrations:
So far we have twenty confirmed reservations, with nine hotel rooms booked.

Woody is going to try and firm up Cerprobe's registrations. He thinks there
will be 7 to 10 coming.

We are all going to man the phones to call as many people as possible to
coerce them into coming.

Keith is going to work with Doug to get the credit card registrations
through to our bank account. The venue and facilities will need to be paid
three days in advance.

Omni Hotel:

Andy has met with the convention organiser and made a few decisions about
menus and facilities.

Through a stroke of good fortune, another group has requested the use of
the larger room we had reserved and will definitely no longer need, and
Andy has traded that for a reduction in the committment regarding the
number of bodies we guaranteed. Originally we had signed for a hundred and
were allowed to reduce that to no less than eighty. We now have a deal
where we will need to pay only for those attending. If we make the sixty or
so we need to make our sponsors happy, then we've made a significant
saving.

Andy will confirm arrangements with the Omni Hotel. Final numbers must be
established by Monday.
Andy will confirm arrangements with the DJ for music on Thursday night.
Andy will confirm arrangements with the keynote speaker

Audio/visual:
Woody will need a TV and video recorder for the conference, as well as
Damon's computer projector.

Glenn is going to check out some A/V gear he has to see if it's working. He
will let us know by Friday whether we need to make other arrangements.

GENERAL:

Remember, if you're responsible for getting something done and can't manage
it alone, please call for assistance. That's really very important,
especially at this late stage.
